AD Partners is a digital marketing agency based in Gwalior, India, and the same team that built this platform also runs its own agency's client work on it, day to day, not as a demo environment but as the system the team actually depends on.

The problem before

Before building this platform, the agency's own workflow looked like most small agencies': a scheduler for posting, a separate spreadsheet to track which client had approved which week's content, screenshots sent over WhatsApp for sign-off, and a manually assembled report at the end of each month pulled from two or three different dashboards. It worked, in the sense that clients got served, but every step in between was manual and easy to get wrong, especially once the client list grew past a handful of accounts.

Moving onto the platform

The team moved its own client roster, including accounts like Greennub Technology, onto the same content calendar, approval portal and reporting system now sold to other agencies. Each client's posts are scheduled in that client's own timezone, sent for approval through the portal instead of a chat thread, and reported on through a branded PDF that goes out automatically rather than being built by hand at month's end.

What changed day to day

  • Approvals stopped being a chase. Instead of following up over WhatsApp, clients review and approve their own week of content in the portal, and the team can see at a glance what's still pending rather than guessing.
  • Reporting stopped being a monthly scramble. A branded report goes out automatically on schedule instead of someone spending an evening assembling one from separate exports.
  • One dashboard, not four. Scheduling, approvals, the client inbox and reporting live in the same place, which mattered more as the number of managed accounts grew, not less.

What it actually saved

The honest number is roughly six hours a week that used to go into manual scheduling coordination and report assembly across the client roster, hours that now go into actual client strategy work instead. That's not a dramatic transformation story, it's what removing repetitive manual steps from an existing workflow looks like for a small agency, which is precisely the point: this is the same platform, used the same way, that's being sold to other agencies now.
